Your use of this website, including the on-line booking form, is governed by the following Terms and Conditions.

1. We strongly recommend that you take out your own personal cancellation/holiday/travel insurance.
2. Payment for all packages must be made in full at the time of booking (or 50% at time of booking and the balance by 1 December 2025) in GBP £ sterling currency. Full payment will need to be made through the booking system using a credit or debit card.
3. All bookings attract a non-refundable booking fee of 2.5% of the total cost of the booking.
4. Accommodation is not included in the package but may be purchased via the booking system.
5. If Delegates choose to arrange their own accommodation, they will assume responsibility for it.
6. Delegates are advised to check cancellation details if making their own booking and confirm the reservations in writing.
7. By submitting the booking form, you are entering into a contract. That contract and these Terms and Conditions are subject to the law of
   England and to the exclusive jurisdiction of the English Courts.
8. We will make every effort to ensure you are seated in line with your requirements, but this cannot be guaranteed.
9. Please ensure any dietary requirements which includes any allergies. are stated at time of booking.
10. If you need to cancel your booking, we require your cancellation in writing.
11. Cancellation prior to 31st December 2025 will attract an administration fee of £10. No refunds will be issued after 31st December 2025.
12. In all cases the organising committee shall have full discretion regarding any refunds.
13. Bookings are subject to the capacity of the venue. Should venue capacity be restricted for any reason then places will be allocated in
    order of bookings received.
14. You are expected to conduct yourself in a manner that will not cause harm or injury to yourself, others, or damage to property. You must
    follow directions given by staff marshalling any Event, or Venue management.
15. The organising committee reserve the right to refuse admission to any Event or tour if you are deemed to be unwell, unsafe or in a
    condition that may be a danger to yourself or others.
16. You may not bring any alcohol into a venue. Alcohol will either be provided or sold to you by the event.
17. Smoking is not permitted inside any building. This includes vaping.
18. The use of Social Media by Delegates should be mindful, non-discriminatory and with the permission of any other party.
19. You will be required to pay for the cost of any loss or damage for which you are responsible to any part of the hotel or to any property
    belonging to or leased by the hotel that has been damaged, destroyed or removed by you.
20. We require you to wear your Conference Pass at all times.
21. If any airport transfer service is arranged, you must ensure you are at the pick-up point promptly at the allotted time. You must contact
    the transport team in the event of any delays or issues occurring.
22. You may not bring any opened alcohol onto the transport or drink alcohol on the transport.
23. Smoking is not permitted inside any vehicle. This includes Vaping.
24. You will be required to pay for the cost of any loss or damage for which you may be responsible to any part of the transport, or to any
    property belonging to or leased by the transport that has been damaged, destroyed or removed by you.
25. Data Protection Notice:
    Your personal details are stored in our database on a server located physically within the UK or European Union. Those details will not be shared with any parties other than the Committee organising the Southampton 2026 National Conference, the Association of Ex Round Tablers’ Clubs Limited (a.k.a. “41 Club”) and the National Association of Tangent Clubs Limited (a.k.a. “Tangent”), save that by entering into the contract referred to above you agree to your name and Club (if appropriate) being inserted into the conference booklet which will be provided to all delegates upon registration at the Conference. Your e-mail address and phone or mobile number may be used by the Conference Committee, by 41 Club and/or by Tangent to contact you regarding your Conference booking in order to request clarification of details that you provide or to provide you with further information about the Conference as that information becomes available.
